  • Serves as a Secretary, Administrative Assistant and Program Assistant to a variety of programs that is under Division of Public Health. Performs a clerical and administrative duties for the Director and the staff of Community and Preventative Health Services also known as Division of Public Health.
  • Responsible for overall coordination of clerical and administrative duties for the Division of Public Health, there are different programs that I assist daily, which are: Diabetes, Health Promotion Disease Prevention, Nutrition & Dietary, Methamphetamine Suicide Prevention Initiative, Domestic Violence Prevention Initiative and Public Health Nursing programs.
  • Ensures that credentials for all nursing and clinical staff in the department are kept current to comply with hospital regulations, and documents are easily retrievable to meet deadlines for performance improvement purposes.
  • Responsible for determining appropriate formats, establishes and maintains database of information, statistics, files and software for storage and retrieval of program data for reports, documents and other written communication.
  • Provide information to employees on Performance Management Appraisal Program (PMAP), and assist with making sure the implementation, uploading and administering the employee Performance for the Division staff assuring that all staff's performance is completed by service unit deadline, this includes the standard effects of incentives award requests.
  • Receive visitors, officials, telephone calls on behalf of director and department staff, taking visitor to the right location and route phone calls to the appropriate person. Distributes incoming and outgoing correspondence to appropriate staff and department. Assist the Executive Staff in Administration with other request such as taking meeting minutes for Executive Committee Meetings, generate travel order and voucher for different Division, ordering supplies, etc
  • Ensures travel and training arrangements are made using appropriate funds and necessary documents are prepared and submitted in a timely manner, this includes travel vouchers and evaluations using the travel system (CGE). have also assisted the Division of Medical Services with preparing travel arrangement for Invitational travelers for site visits.
  • Maintains numerous tracking log for the division such as: monthly, quarterly and yearly reports, prepares the final meeting minutes for distribution and filing, and quality assurance monthly reports. I have assisted the Executive Staff with other request such as taking meeting minutes for Executive Committee Meetings, generate travel order & voucher for different department and ordering items needed.
  • Serve as a timekeeper for the Division of Public Health staff, Public Health Nursing staff, Dietary staff, one Human Resource staff, this also includes emergency hires for our division. Make sure all timecards are as accurate as possible, and gather supporting documents together to submit for corrections to be made.
  • Maintain commitment registry for all programs that are under the Division of Public Health and check with Finance Department for grant funds on a continuous basis to ensure funds availability.
  • Order supplies and equipment for the division using P-Card request or requisitions for equipment and supplies. Input information into UFMS system if ordering equipment, supplies for large amount or request contract/consultant services.
  • Ordering supplies using Government Purchase Card, post all transactions in CitiManager system and run report, get the whole packet together on monthly base and submit to Acquisition Supervisor for review and approve, this includes attaching supporting documents for monthly reconciliation.
  • Assist the department with getting documents together with the outreach activities/events and field projects, i assist with registration, getting training and conferences location ready, and welcoming participants.
  • Established and assisted an appointment system in RPMS for School Based Health Clinic to schedule appointments for high school students at three high school and two middle school under Gallup McKinley County schools (Crownpoint, Thoreau and Tse' Yi' Gai' High School and Crownpoint & Thoreau Middle School). Input students appointment into RPMS, print immunization records and print appointment list of students for provider, also print health summaries for students if request was made by provider. Assist with registration and data entry during Mass Vaccination clinic at the high schools.
  • Assist other department secretaries with their duties when requesting assistance with Travel System, Timekeeping, etc.
  • Assisted the Division Director with getting department positions filled; compile documents together to get the position description (PD) is up-to-date. If need to update position description, submit all supporting documents for classification and recruitment process.
  • Provide technical advice, assists and informs staff of programs for thrift savings plans, leave information, and some information on workmen's compensation.
  • Conducts or assist the division director with orientating new employees with policy and procedures, where to do to look up service unit policies.
  • Assisted the service unit staff with getting documents approved at Area Office for Public Service Announcement (PSA); and send them to the local radio stations for announcement and to local newspaper offices for printing
  • Provide information to employees and supervisors on the preparation of on-the-job injury claim forms, continuation of pay (COP) information, medical documentation and report all documentation into I-Star and all necessary documents have been filled out properly and submitted by deadline.
  • I have assisted the Acquisition department staff with performing a Market Research using Request for Quote (RFQ) in the eBuy system, this is done on all P-Card and requisition requests that are submitted for ordering. This system is used to request for quotes from vendors and order supplies or equipment base on response from vendor with requested documents attached
  • I enjoy working and learning new stuff to challenge myself and gain more knowledge and skills, I am a fast learner and I like challenges.
  • Handled daily scheduling tasks and provided administrative support for entire department. I compose, correspond and review documents for formatting, grammar and spell check before dissemination.
  • Maintained office supplies inventory by checking stock and ordering new supplies, this includes personal protective equipment for all staff.

  • Assisted with scheduling and rescheduling patient's appointment either in person or by telephone calls on a daily basis
  • The appointments were scheduled at the facility; some patients had to be schedule outside the facility to be seen by specialist at other facilities, these require patient referral written by primary care provider
  • When services are not provided at our service unit; patients were send out either by scheduled appointment or transported if needed to be seen by a specialist soon
  • If patients were eligible for Saferide, assisted patient with scheduling Saferide services to appointment location if transportation is was an issue
  • When scheduling appointments for patients, they all required special instructions so I explained the procedures that were involved; this includes interpretation for elders that didn't know how to speak English. I explained to patients where appointments is schedule, the schedule date and time and instructions if needed; also make sure the patient has transportation to go the appointment location
  • I had used the RPMS system (Scheduling Package) to input provider's schedule, patient's appointment and print appointment list and health summaries if requested
  • I assisted with submitting Quality Assurance Report monthly and quarterly to the department supervisor before due date
  • I was able to retrieve lab results for providers when requested from RPMS, Laboratory Package
  • I also assist with delivering STAT lab to Gallup Indian Medical Center, Fort Defiance or Albuquerque, where these labs can be taken care for continued care
  • I have the ability to help anyone with whatever help they need, if it's patient care, I can do what it takes to assist with the knowledge and skills I have gained.
  • Gathered information from clients regarding associated medical providers.
  • Prepared patient charts, pre-admissions and consent forms as necessary.
  • Prepared personal injury, medical payment, uninsured and other claim types.
