QUALIFICATIONS

  • Provide support for several upper level management personnel including the President/CEO, Operating Company President, Vice President of Human Resources, Director of Marketing, Diversity and Compliance Director, and the Senior Manager of Business Development.
  • Manage database and create new employee files; assist with Operator Briefings and testing of applicants; employee verifications; reconciliation of procurement card monthly statements; manage files for FMLA and the Service Recognition program.
  • Manage calendars by scheduling/confirming appointments, meeting and special events using the electronic system.
  • Maintain the Disadvantaged Business Enterprises (DBE) database by entering and certifying companies.
  • Assist the Executive Assistant to the President with the monthly Board of Trustees meetings, i.e., coping and mailing packets, coordinating retreats and minutes from the meetings.
  • Maintain an accurate account of all customer service complaints that are received into the President/CEO’s Office.
  • Arrange itineraries for domestic and international travel; calculate and process expense reports including those with foreign exchange items.
  • Provide administrative assistance on product launches including creating brochures, presentations with graphs, and direct mail campaigns with some marketing tasks.
  • Assist with scheduling customer seminars and demonstrations and also in coordinating catering and event planning for various meetings.
  • Order office supplies; compare/verify pricing, and inventory control.
  • Provide relief to the receptionist and offer continual customer service.
