Answers the phone in a professional and courteous manner and transfers calls and takes messages as needed. Tracks and delivers messages to employees for phone calls from pharmacists, hospitals for records reports for new admits, and families when necessary.
Bus/Transportation services by SPJST, contacts Maintenance Director when resident has requested return pickup via phone call after a completed appointment.
Greets and provides good customer service to all residents, family members, employees and visitors to the building.
Forwards mail to responsible party as requested by the Assistant Office Manager.
Ensures that dialysis residents receive a lunch when necessary. Calls transportation service when needed to ensure pickup from appointments.
Keeps current, all phone directories, extension numbers, cell numbers and e-mails for management.
Maintains and collects money for OUT forms for resident trust fund cash disbursement. Money received is placed in ABOM office bag.
Collects and writes receipts for rent money, cable TV money, trust fund money and telephone money, when necessary.
Take money for guest meal tickets for meal purchases. Money received is placed in BOM office box.
Addresses and mail care plan contact letters to responsible parties one week prior to meeting. List provided by the MDS Coordinator.
Maintains, assists and coordinates resident beauty shop appointments by monitoring available trust fund balances with Assistant Activities Director. Trust fund balance must not fall below $15.00 per State auditor’s guidelines. Resident may pay cash for beauty shop. Responsible parties must be contacted of a low balance in order for additional trust funds prior to the residents’ arrival at the beauty shop.
Beauty Shop remains locked unless resident’s family requests usage. Resident families must collect key from the receptionist desk and sign out for the key. Key is kept in the Administrator’s office. Return the key when usage is completed. Beauty shop is also used for other activities such as dental and podiatrist visits.
Assists other departments and other SPJST Homes with clerical requests as needed.
Assists the Education Manager with schedules for residents of Podiatry and Mobile Dental when needed and at the request of the Education Manager.
Separates fax messages and distributes to responsible parties, as necessary.
