Generating Purchase orders and liaise with suppliers
Maintain supplies inventory by checking stock to determine inventory level; anticipating needed supplies; placing and expediting orders for supplies; verifying receipt of supplies
Ensures operation of equipment: maintaining equipment inventories; evaluating new equipment and techniques
Create / revise system and procedures by analyzing operating practices, record keeping systems, budgetary, implementing changes
Resolves administrative problems by coordinating preparation of reports, analyzing data, and identifying solutions
Compile Environmental reports
Preparation of various reports
Responsible for financial accounts including budget's
Induction to all visitors and contractors
General secretarial duties for the team
Register, send, receive, archive and/or file all correspondence (internal and external)
Assist the managers with the preparation of the files and the approval circuit for all draft correspondence, procurement or financial transactions by creating appropriate routing slips and checklists
Assist the team leader and managers with the necessary arrangements for the hosting of meetings, participation in external meetings or events, planning and organizing of travel missions
Carry out any other additional duties assigned by the team leader or the Head of Department
To provide back-up to other secretaries in the operations section as needed
