Monitor progress of transactions from contract to closing, providing commission disbursement authorizations (CDAs) after reviewing listing agreements, BBA agreements, purchase contracts, referral agreements, rental contacts, addendums and other documents for accuracy and compliance in accordance with company policies and procedures and industry regulations. This position initially supported solo and team real estate salespersons in Florida, then became "borderless", supporting contract to closing of files for solo and team agents in the eastern states, including NH, ME, VT, MA, CT, NY, NJ, PA, VA, WV, MD, DE, NC, SC, GA and FL.

  • Settle transactions once closing documents are obtained and confirmed to be correct, resolving errors in settlement statements and agent/team/eXp Realty commissions prior to settlement.
  • Monitor and execute time-sensitive tasks within the under contract timeline, for a large pipeline of transactions. Volume of completed tasks (initial review, CDA, changes causing monetary CDA revision, settlement) between 160-220 expected per week.
  • Address and prioritize tickets in Hubspot from eXp agents, title companies, attorneys and eXp staff related to active and closed transactions.
  • Provide requested information to agents and staff, reinforcing eXp best practices and explaining processes such as commission breakdowns, POP (proof of payment), software platform questions or missing documents required for a transaction to move forward.
  • Attend company virtual training sessions and update meetings to stay current and informed about frequent policy procedure changes.

Administrative Professional – Compliance and Shipping Oversight

  • Prioritize and execute shipping schedules for an auction house specializing in antique and modern sporting and military arms, edged weapons and related militaria. Schedule shipping through UPS Worldship (Fedex upon request) for all firearms and non-gun items.
  • Verify FFLs (Federal Firearm License) for compliance prior to shipping of C&R (Curio and Relic) and Modern firearms. Prepare DOJ paperwork for all non-antique firearms shipping to CA.
  • Maintain FFL database: Manage influx of FFL paperwork prior to and following auction sale, monitor missing or expired FFLs, request valid paperwork and place shipping holds on items without supporting FFL. Monthly purge of expired licenses in vBound system.
  • Data collection for all acquisition and disposition paperwork related to new consignments, transfers for no-sells, repairs, returns and dispositions by way of FFL or ATF form 4473 (Firearms Transaction Record) after auction sale.
  • Point-of-sale invoicing and payment acceptance after auction sale. Process cash discounts, phone payments, background checks, Multiple Handgun Form paperwork and user information changes.

In first six months of employment, I:

  • Implemented changes in shipping room procedures to lessen time spent locating and labeling boxes for daily shipments, increasing shipping volume.
  • Audited 500-page auction catalog for errors, resulting in a quicker, efficient disposition process by greatly reducing delays in discrepancy verification by a firearms specialist.
  • Performed manual validations on UPS Worldship database address entries, resulting in company cost savings of $16.40 per UPS automated change.
  • Established consistency in FFL tracking systems in Fed Book, electronic scan files and paper files; removed/renamed expired FFLs to expedite verifications at the long payment lines at auction end.
  • Designed shipping cost analysis shedding light on existing flaws in pre-shipping estimates.

  • Prepared HUD multifamily program processing for 150 contracts, totaling approximately 5,630 units of subsidized housing per month in a deadline-driven process.
  • Executed the monthly HAP (Housing Assistance Payments) run submission to HUD to assure that all properties in the complete portfolio were paid on the first of each month, resulting in an average distribution of $4.5 Million per month.
  • Resolved TRACS/voucher and customer issues through HUD Secure Systems and management agent personnel. Problem-solved and resolved issues with management agents on discrepancies that arose from monthly TRACS submissions. Assured that voucher compliance was near 100% accuracy between NHHFA and HUD after monthly HAP run.
  • Provided a monthly invoice to HUD with all PBCA activity that occurred to justify receipt of the Housing Authority’s Administration Fee.
  • Approved PBCA and TCA special claims processing resulting in an average of 525 claims dispensing an average of $401,000 per year over the period of three years. Followed HUD guidelines within a thirty-day processing deadline while reducing the number of rejected or denied claim errors each year. Proactively assisted and guided property management staff to properly submit the appropriate paperwork in order to collect funds for special claims.
  • Efficiently processed HAP contract renewals, rental adjustments and opt-outs for New Hampshire Housing's Section 8 portfolio while meeting task deadlines for HUD.
  • Established payments drawn from specific funding sources for the Development Team from sponsor construction requisitions.
  • Solely responsible for escrow changes processed after analysis for tax, insurance and replacement reserve accounts with company funding within the multifamily portfolio, as well as escrow changes requested by Asset Management staff. Streamlined the process by reducing and eliminating redundant or unnecessary steps.
  • Undertook set-up of surplus cash billing requests for deferred loans after asset manager review of year-end audits.
  • Communicated critical information and updates from HUD and other affordable housing entities to all management agents/owners in the New Hampshire Housing portfolio.
