• Responsible for technical administrative support to the Human Resource Department in the areas of recruiting, personnel actions, HRIS data entry, creating reports, documentation review and processing, answering phones, and providing customer service.
• Performs general office duties.
• Onboarding: Assist with hiring, promotions, transfers and demotions to include: testing, posting jobs including UF College of Medicine, badges, create and maintain requisition folders and communicating by email to manager employee security access form, badge, data entry of all new hire paperwork in Lawson, process e-Verify, prepare interview packets for applicants, prepare on–boarding packets, orientation folders, process employment verifications. Coordinate and complete temporary paperwork, integrity test, background checks. Onboarding process to include confidentiality statement, dress code policy, badges, IT access, HIPAA Training-assign Health Stream access. Maintain excel spreadsheet for temporary and volunteer.
• Volunteer Services: process paperwork for volunteer service to include HIPAA Training, Badges, and acknowledgment letter.
• Badge processing: process and maintain badges for UFJHI employees, Physicians and Residents. Assign badge number, create the profile on the Badge System. Replacement Badges-email to security with new information, create reports, maintain badge extenders.
• Department Invoices: complete check requests, track through excel spreadsheet and route to A/P.
• Maintains inventory of equipment and office supplies (using Spend Map and My Office Products.)
• Customer Service Uniforms: Point of contact of Cintas Company, process all exchanges and returns, process new orders for active and incoming employees and monitor invoices for accuracy and adjustment as needed.
• Project Search: Interview and screen students from project search by matching skill set with the task required in the department. Provide direction and guidance to the student while working in the department. Periodically meet with Project Search to give updates on student and address areas of improvement.
• Maintenance of Logs: Log all Personnel Action Notices (PAN’s), benefit changes (i.e. name changes, FMLA, etc.), and other appropriate documents received by the HR Department into excel spreadsheet. Stamp and route to appropriate HR personnel and or payroll.
• Maintains Files: Maintain employee personnel files for 1,500 employees. Term files, I-9, EEOC and background check files.
•Organizes and performs all office and clerical functions including, but not limited to, setting appointments, scheduling meetings, answering the telephone, taking and transcribing meeting minutes.
• Organizes and maintains appointments/scheduling. Ensures the scheduling in advance of adequate rooms, reservation and delivery of needed equipment and catering of food, when appropriate, for meetings and training sessions.
• Organizes and maintains Department records, reports, minutes to meetings and other related documents.
• Ensures that overall office operations adhere to current guidelines of the College of Medicine as well as University of Florida and state regulations.
• Develops and maintains database for physicians to include but not limited to medical license renewal, DEA renewal, provider enrollment/credentialing expirations.
• Assist with supply orders and maintains equipment inventory.
• Prepare, edit and distribute correspondence from Division Chief and maintains division administrative files.
