I worked directly under the CFO to pay the various venders, service providers, and community groups we used to put on trail and road relay races across the country. I created an aging report each week to prioritize payments, and we did a weekly check run based on that report. I handled email and phone communication with those vendors, addressing any questions or concerns. I made sure that each week’s checks were stuffed, stamped, and dropped in the mail. I also created actuals reports for each race and sent them to our various race directors to show what was still due or outstanding and to show the coding of all the charges. They’d send me any coding corrections that needed to be done and I corrected the coding accordingly. I scanned everything for backup and uploaded it into our shared files. I also uploaded all the employee credit card charges and sent those reports out for any needed coding corrections.
I did A/R for the various expo partners we had who wanted booths at our races to sell their products/services or to be the exclusive provider of a particular product/service for Ragnar Events. I created and emailed their invoices, set up payment arrangements, collected their payments, and handled email and phone communication with them to address any questions or concerns. I worked under the Partnership Manager/Recruiter who would send me the various partner contracts so I could handle the accounting/billing on them.

I was a contract employee through Paladin Consulting doing complex billing and accounting work for Keystone Aviation’s Charter Service Department. I kept track of batch numbers associated with each payment and kept record of everything on our deposit spreadsheet. I also kept and organized paper backups of everything. I assisted our billers with locating and posting any missing payments. I confirmed the funds were deposited into our bank account, located the backup, and posted the payments accordingly. I worked with various payers to get online access to remittance advices to streamline the posting of their payments.

I also covered the cashier booth every other week, collected and provided receipts for walk-in payments, assisted members, groups, and brokers who came in with questions, sold stamps, distributed petty cash to employees, enrolled members on SelectHealth’s online billing and payment system, handled and accounted for all the money that came into and left the cashier booth, completed each day’s deposit to send to the bank, and balanced with our senior accountant each week.
