Front Desk Receptionist/Medical Assistant

Front Desk Receptionist:

  • Check patients in, collect patient history, and insurance information. Charge co-pays and balances, log all money handling and charges made through the cash register system, such as Clover.
  • Request referrals to primary care and check through the Availity portal to see if referrals are valid.
  • Scan in patient paperwork, ID/license, insurance cards, and new patient paperwork for regular, motor vehicle accidents, or cannabis.
  • Speak with attorneys and lawyers regarding MVA cases, speak with patients' primary care physicians regarding referral issues, and speak with patients' insurances for co-pay issues.
  • Checking patients out by requesting referrals for MRIs, CT scans, or X-rays. Creating follow-up visit appointments or procedure appointments. For the front and back desk, helping patients get in contact with their insurance transportation.

Prior Authorization Department:

  • Submit prior authorization for medications: Submit all requested paperwork, such as patient treatment, diagnosis codes, and the most recent urinalysis report.
  • Speak with multiple pharmacists in case of a backorder issue, and speak directly with the patient’s insurance to see what medications are covered or to do a verbal prior authorization.
  • Submit appeals through the Cover My Meds portal or physical paper fax for medications to be approved, and provide override codes to the patients' pharmacies to approve medication faster.

Medical Assistant Department:

  • Assisting impaired or disabled patients to get to the rooms safely.
  • Call and speak with the patient’s pharmacies regarding backorder issues. Faxing over the treatment plan from the patient’s previous encounters, providing patients with alternative pharmacies and medications, resending or correcting medications, and calling multiple imaging offices regarding patients' MRIs, CT scans, and X-rays to be faxed over to our office.
  • Creating new encounter visits and waiting for verification for Medicare or other insurance patients, which turn into injection visits instead of medication refills, in our pain management office.
  • Collecting urine samples, bagging them, and sometimes dropping them off at our in-house labs.
  • Documenting all new patients, CMD, and MVA cases. Charting chief complaints during the initial visit (brief summary) of why the patient is coming in for evaluation.
  • Merging patient charts through the clinical system, and looking up patients' dispensing information through the EForce system.
