Facilities Duties:
• Serve as the primary facility contact and Single Point of Contact (SPOC) for Lincoln Hall.
• Assists the Senior Director of Facilities and designee on determining space reassignments.
and coordinating moves within Lincoln Hall as necessary (often).
• Coordinating the purchasing/arranging of furniture and phone/computer jacks associated
with moves and other facility renovations.
• Create and send correspondence related to facility matters, coordinate outages, and other
communications with building occupants.
• Manage security maintenance for Lincoln Hall. This includes but is not limited to
assigning and maintaining key inventory and assigning and maintaining card access and maintaining security alarm
codes.
A first responder to alarms in Lincoln Hall and is a contact for Lincoln Hall's campus
emergency contact list. Serves as Lincoln Hall contact for security camera access/issues.
• Coordinating building maintenance/mechanical service, submitting service tickets, and working
with F&S, as needed.
• Assisting the Senior Director of Facilities and Planning with Building Emergency Action Plan.
Assists in scheduling building emergency and safety training events for staff.
• Maintaining equipment records in the FAB web system, and conducting a biennial inventory
process for the LAS Dean’s Office. Assists units within LAS, as needed.
• Completing the biannual Space Survey for Lincoln Hall.
Assisting with the Senior Director of Facilities and Planning’s calendar and arranging meetings,
times and locations.
Receptionist Duties:
• Performing main receptionist duties for the Office of the Dean. Includes answering all calls
and greeting all visitors. Serving as the main contact for all visitors to the college. Refers visitors
and callers to appropriate offices and individuals within the College of Liberal Arts and Sciences.
serves as the resource person for responses to questions and referrals to others.
• electronic calendar to handle the scheduling of the conference rooms assigned to
the Office of the Dean.
Assisting with Onboarding duties for the LAS-Admin new hires when needed.
Responsible for prioritizing access to the conference room and
maintaining rooms.
Assesses equipment availability and handles the set-up of equipment. Provides meetings with
coffee service when needed.
• Responsible for operational tasks, including opening the office (turning on equipment,
unlocking doors, checking that equipment is stocked, and providing backup clerical support to other clerical staff
in the office, sorting and distributing both campus and U.S. Mail, redirecting incorrectly addressed mail, and
preparing routing forms and other forms used by office personnel, processing vending machine refunds.
