
To support the Clinical Business Operations Representative 3 for the University of Miami/UHealth Department of Psychiatry. By coupling my passion for eagerness to serve, I aim to function as a liaison between management to staff, students, and guests who utilize the University of Miami/UHealth Department of Psychiatry operations professional prepare to excel in a dynamic environment.
●Oversees and manages staff, to make sure the office is running smoothly, and everything is done in a timely manner.
● Assists with supervisor duties while on supervisors are on time off.
● Answer phone lines for the department; triage incoming calls, respond to questions, direct calls, and document messages in UChart
● In charge of managing the Medical Student Program with scheduling appointments for medical and graduate students.
● In charge of submitting and obtaining prior authorizations for medication and rTMS treatments.
● Works cooperatively with fellow employees to solve problems and enhance the smooth and efficient flow of the practice.
● Train new hires into the team.
● Provides coverage for responsibilities of co-workers when assigned or as need arises.
● Develops and promotes the use of effective methods of communicating with physicians, managers, peers, trainees, and staff on a regular basis.
● Use electronic medical system (EPIC) in utilizing to verify patients’ appointments, enter lab results, medical records, referrals and medical notes for fibro scans.
● Maintains confidentiality of patient information.
● Provide clinical support to clinical faculty in daily activities related to 4 MD's, and 2 advanced registered Nurse Practitioners.
● Assist clinical support to other clinical providers in daily activities.
● Provide medical letters, if needed, to patients and appeal letters to insurance companies.
● Take care of all patient and clinical faculty requests
● Answers telephone calls, greets callers, handles inquiries, takes and delivers messages, answers custom questions and transfers calls to correct personnel according to their needs.
● Verify patient demographics and edit information as necessary to assure accuracy and completeness through Clinic Prep.
● Verifies insurance information and informs patients of any inaccuracy through Clinic Prep.
● Schedule appointments (i.e., follow-ups, RTMS, P2P Reviews) in a timely manner, cancel and reschedule appointments based on patient and/or doctors’ requests.
● Adjust clinics for doctors on vacations or days off.
● Manage all NO-SHOW letters and missed appointment/late cancellation fee disputes.
● Oversee provider schedules to ensure Fill and Schedule rate metrics are maintained at 95-100% capacity.
● Oversee CRM Work queue Message Escalations.
● Initiate and manage prior prescription authorizations for medications and RTMS treatments
