Invoice creation for different vendors . RPA tool used  : Automation Anywhere, 

OCR Tool :Ephesoft.

Application Used : MS Outlook

Description : 

  • Ephesoft is an OCR tool which is used to capture which classifies and extracts any type of data from any document by using regular expressions. The invoices are added into the ephesoft by the vendors and by using the rule the invoices are captured according to the invoice number and then processed by the bots.
  • If the invoice having no expected data ,than that invoice is discarded .
  • The bot processes the invoice which having invoice number and vendor name and then send an outlook mail to the specified vendor.
  • The bot also sends the backlog report daily which is generated from the SQL .
  • The invoices which are not processed are sent back to the vendors by bots via email to get them process manually.

Client : Truevalue

Downloading the report from Oracle ,extracting the data from the report into excel sheet and processing the invoices  by matching them ,paying the vendor.

Application Used : MS Outlook,MS Excel ,Oracle,Item info,Purchase Order,LRS,Windows shared folder.

There are three tasks Invoice Matching,Open Receiving,Vendor Statement Reconcillation.

Total 10 bots are created for performing the tasks, 7 instances are created for Invoice Matching Bot, 2 bots are created for Open Receiving task and 1 Bot is for Vendor Statement Reconcillation.

  • Every Monday bot downloads the Holds report from the oracle,performs excel data manipulation.
  • Extracts max 200 records from the downloaded report.
  • Create input file for offshore activity and place them into work folder with current data.
  • The bots are scheduled according to the timings . IM,OR and VSR are scheduled at time interval of 1 hr.
  • The bots pick up the files from the folder ,and starts processing the invoices line by line according to the item numbers that are present for the particular invoice.
  • The bots are created to only work for the invoices which are in revalidation stage.
  • The bots perform those activities with the help of recorder commands. The invoices which are partially paid then he bots attaches a note and keeps them in revalidation stage rather than processing it.
  • The invoices which are not available in item info then the bot marks those invoices as exception and moves to process other invoices.
  • On Monday reports are generated for IM,OR and VSR and shared with the client .
  • Exceptions are handled by checking mail and accordingly are resolved by taking the necessary actions.
