Job Responsibilities

  • Dr.’s Orders: Input medications as prescribed by doctor, fax prescriptions to pharmacies or utilize e-prescribe portal for prescriptions to be filled at retail pharmacies(This is based on clients’ financial status/insurance). When using E-prescribe portal, scripts can only be sent by the ordering physician.
  • Once order has been entered into kipu, I prepare for documents to be placed in med log. Face sheet, Med intake sheet, Dr.’s Order, Med inventory sheet, and MOR sheet is created for each medication. This applies for PHP and MAT clients.
  • PHP Med count takes place every Monday by Ms. Gwen. An email is sent out for refills for clients left with 7 days or less of medication. Refills are submitted to specific designated pharmacies. MAT meds are counted by me each week and reported to the physician. If refills are required the doctor is responsible for sending/calling in the prescription. After meds have been ordered, designate a driver to pick up medication.
  • Obtaining pharmacy benefit information is vital when sending prescriptions. I reach out to the insurance company if insurance card isn’t on file, obtain processing info, update chart and follow up with pharmacy.
  • Ensuring the co-pay agreement has been signed, payment will be made for each client/medication. This involves calling parents to provide pharmacy phone number to make payment, or obtaining payment from the client.
  • Scheduled In-house Dr.’s Visit: On Tuesdays NP comes in to visit with clients. This includes new admits and follow ups. A brief synopsis provided to NP for each client. Clients who need follow ups are to complete a client request form which is then given to NP. NP is responsible for completing psych evaluations and H&P’s within 72 business hours per admission. Follow up appointments are documented as medical progress notes. Duties requested by NP includes obtaining medical records, ensuring labs are ordered (scheduling phlebotomist to come in for draws/speaking to lab coordinator to discuss requisitions and ordering lab tools). Attaching labs from lab portal to clients’ charts, scheduling doctor appointments for illnesses unrelated to mental/behavioral health. As requested if labs are positive further action takes place such as scheduling clients to health dept (if required) Reaching out to insurance companies to obtain in network providers, benefits, and copays.
  • Completing prior authorizations for specialty medication/medication needing authorization. Discontinuing, adjusting, increasing, or adding medications per NP request
  • Following up with pharmacies/NP to have medication delivered 7 days prior to injection refill. Upon admission meds brought in should be logged into Kipu and signed by the client and myself.
  • Creating new MOR sheets for upcoming month(monthly). Ensuring chart audits are completed for any med forms not reviewed or signed by MD or NP. Periodically check med log and report clients who are refusing meds or any bp/bs readings that may be concerning.
