  • Prepare board cart Tuesday mornings by means of checking board case calendar for any errors in license numbers, retrieving all board order files for upcoming cases and turning over files to the Adjudications Division.
  • Perform Board Order Preparations Scan, run OCR, notify the Adjudication Department of errors if encountered.
  • Alert Administrative staff when board order preparations are complete to then update revised orders and place them on the Agency Share drive.
  • Perform Board Order Follow-Up by compiling a cancellations chart for the Board hearing date of any licenses which were withdrawn or cancelled that week.
  • Audited safekeeping reports to identify items for removal from filing cabinet, located missing files, and verified licensing files in Accela Licensing Management Software for discrepancies.
  • Maintained the records file tracking system to ensure accurate file management.
  • Organized and managed file room storage, enhancing accessibility and efficiency for team members.
  • Managing outdated files in accordance with the Agency’s Record Retention Policy.
  • Scan and Upload all renewal packets, placard verification, final inspections, provided by the Licensing and Enforcement Divisions into Accela.
  • Inventory all files of departing employees while alerting Licensing Managers of active files to ensure that Licensing files are reassigned and removed while inactive files are processed for off-site storage.

  • Trained newly hired employees on ABRA Records Management protocols and procedures, ensuring compliance and effective onboarding.
