  • First I would print out JUHL (Judge Hearing List) Calendar for all the hearing dates for the week and print the Projected Calendar from the court. I would then reconcile them. Make sure that our calendar and the court’s calendar match up with the correct dates and time.
  • Print all the screen prints from ATLAS and file them in the case record.
  • I make sure that all the current information from ATLAS is in the case record and ready for the court hearing date for the Attorney’s.
  • Once I have completed prepping all the cases for the Attorney’s, I will then file them back in alphabetical order by the hearing date.
  • Sort daily mail/deliveries.
  • I will assort all the letters that the Secretaries and Paralegal’s has sent out to the clients to get severed or to provide them information about their case by sizes.
  • I will run all the letters through our postage machine by the correct size to stamp the correct dollar amount.
  • Then I would collect all the stamped letters and take it to the mail pin and check The Attorney General Office mail box and collect any received mails.
  • At the end of each hearing date the assigned Attorneys that are assigned to my team will enter their notes of what happened at the hearing and F codes. Once they are through the Attorney’s will then hand it to me. I will then enter any other data entry that need to enter onto ATLAS and log out the case, if the case needs to be log out. Some cases are continued or has a review hearing coming up. If it does, then I would enter the new hearing date in ATLAS.
  • If the case is ready to be log out. I would log out the case from ATLAS, assort all the documents by codes and then scan the whole file onto a system called OnBase.
  • Answer, screen and forward any incoming phone calls while providing basic information to the clients about their case, when needed.
  • Log in new cases into ATLAS System.
  • All new hearing cases I would input all the information into ATLAS. For example, the new hearing date and what kind of hearing it is.
  • I would also go on AGAVE and print out the information that the court has scanned about the new case and make a new record for the case.
  • Daily use of Microsoft Outlook to interact among the office or department.
  • Translate in Spanish for my coworkers, to clients that don’t speak English.
