As a referral specialist at the front desk of the Resource and Crisis Center, much of my job includes processing a wide variety of substance use and mental health referrals which include: sober support unit (SSU) smart sheet referrals, Hope shelter smart sheet referrals, and Michigan Department of Corrections smart sheet referrals. Data from these referrals must be entered into our electronic medical records system, assigned to a screener, and any documents, such as a release of information, is scanned and uploaded into an individual’s chart. Another primary responsibility is monitoring our fax system for the enter organization which includes checking, distributing, and filing faxes that include child protective service referrals, Children’s Village referrals, jail and prison referrals, Oakland County Jail Medication Assisted Treatment (MAT) referrals, hospital referrals and documents, crisis residential unit (CRU) substance use referrals and documents, Hope Not Handcuffs releases and referrals, Vivitrol Mission Project referrals, documents being sent in for clinicians for screenings, third party insurance/block grant requests, substance use providers discharge summaries and releases, and documents being sent in from families and community agencies that are requesting OCHN services. In addition to greeting individuals and checking them in for face-to-face appointments, IDS must be scanned and uploaded to the person’s chart, document arrival times or no shows on the calendar and communicate with screeners when there are walk-ins to determine if an individual be scheduled, seen as a walk-in, or referred to Common Ground (an organization within the building) for more immediate services. The walk-in population may request any type of service we provide so I must be knowledgeable about all services my organization provides and what must to be done to obtain a screening. As the RISE (resource center in same building) within our building does not have their own staff, I must also coordinate their walk-ins and appointments coming in with their staff. Additional responsibilities include processing and queueing or scheduling direct admit requests for screenings from the OCHN Utilization Management and Utilization Review team. I also process and distribute incoming mail and collect outgoing mail from multiple access team areas.

As part of the support staff at Pioneer Counseling/Great Lakes Counseling my responsibilities have included more common clerical duties such as making confirmation calls, scheduling appointments as well as calling insurance companies in order to obtain authorization for patients and checking a patients mental health benefits. Utilizing the NextStep electronic medical records system, I routinely had to upload documents, enter insurance authorizations and record sensitive client demographic and insurance information. Due to the demanding nature of the mental health industry, there have been several times where I have been required to intervene in crisis situations that required counseling over the phone, calling inpatient hospitals to refer patients who required inpatient services and calling the police in extreme situations. Other routine responsibilities include initiating prior authorizations for medication for patients, conducting patient intakes as well as calling new prescriptions and prescription refills into the pharmacy.
