Review all offsite event contracts (BEO).
Attend weekly meetings.
Communicate with sales staff, event managers and clients in order to understand themes/colors, rentals, china/ disposable/ linen/ equipment preferences for all offsite events.
Place weekly rental, disposable and linen orders for all in-house and off-site events.
Decide what each event would need from set up to break down. This would include but not limited to: 1. Aprons for servers 2. Aprons/coats for the cooks/chefs 3. Anything the chefs need to cook with 4. Trash cans and bags 5. Linens for buffet, seated tables, bars, etc 6. Tables and chairs 7. Buffet needs such as, bowls, platters, utensils, schaefers, sterno, china or disposables, bar needs, etc.
Gather all non-perishable items and place them together with a list of items needed for those working the event.
Manage Events: Communicate with sales and clients to decide equipment, rental, staffing needs, themes, table placements, buffet or plated food options and timelines to ensure events run smoothly from the time of set up to break down.
Delegate duties for each staff member on the event.
Explain and provide them a written description for set-up, during event and break-down duties.
Oversee the staff is working as effective and efficient as possible. Then, help out anywhere needed.
Load van/ box truck, bring equipment back to The Plate, clean it, put it away, count any inventory needed such as, liquor, beer, wine and log it to ensure correct billing, divide evenly and disperse any tips given, clock everyone out, log times for billing and lock up facility.
On the way out I would always thank the staff for a job well done and make sure they safely got to their vehicle or waited with them for their ride.
