I pulled reports from a software application created by the company for the department I worked in and then inserted it into an Excel file.
I looked for needed invoices on the different companies' websites, downloaded and saved the document.
I entered the information from each bill into the software and created a check request for the accounting department.
Oversaw filed engineer storage units all over the US, Canada, and also in Puerto Rico. When it came time to renew the storage unit I would work with the field engineer, his supervisor, and the manager to decide if this storage facility was still in our best interest. Requested invoice from storage facility and put through request to have it paid for another 12 months.
Looked through field engineers notes in our work order system to verify if the onsite visit was billable and if so, make sure that it was being billed properly. Worked with the field engineers to correct mistakes and also when they had problems entering their time.
Used Excel to keep track of all the warehouse information. Also all our reports were in Excel. Went through weekly reports and double checked that we were billing customers correctly.
Used email templates to send emails to billing regarding whether or not a customer should be billed for shipping and handling.
Made sure that the toner sent out was billed and also when it was returned gave credit to the correct customer.
Did all the necessary requests for the new field engineers hired to make sure that they got all of the needed tools and equipment to work in the field. Also, worked with our travel department to get flights for them and also worked with the hotel to make sure they had a room for the month that they are here in training. Processed all the necessary emails and paperwork when a field engineer was either terminated or when they resigned.
Accomplishments:
Rewrote all the policies for New field engineer hires, engineer terminations, toner processes, storage unit renewals, weekly billing reports, and a few specialized processes that I did. Cleaned up the toner files so it was easier if we needed to audit a particular customer. Redid all the Outlook Email templates that were used regularly
