  • Responsible for scheduling surgeries for eight physicians, including securing insurance authorizations, pre-surgery clearances and maintaining constant contact with patients
  • Communicate with patients with sympathy and empathy while maintaining professionalism
  • Keep patients informed of their progress through the surgical scheduling process
  • Notify patients of re-schedules or cancellations to their surgeries, pre-ops or post-ops
  • Write patient letters to inform them of the details of their surgeries, pre-ops, post-ops, and clearances

  • Check insurance status and benefits before initiating authorizations

  • Maintain and update three scheduling systems (Epic, iQueue and Outlook) with pertinent details to keep the individual calendars for surgeons and PAs current
  • Schedule surgeries, pre-ops and post-ops
  • Use Providence and Swedish Hospital’s iQueue platform to schedule surgeries for eight surgeons
  • Stay in close communication with Providence and Swedish Hospital about changes in surgery details or scheduling
  • Schedule PAs for surgery, and remind them when orders for surgeries need to be placed in Epic
  • Work closely with providers to coordinate their surgical and clinical schedules when “add-on” surgeries are needed
  • Find “free” days at the hospitals when a surgeon wants to add a surgery day to their calendar while minimizing conflicts with their clinic appointments
  • Keep my supervisor informed of overall the surgery schedule
  • Manage communications between eight providers and the specialists, vendors, and facilities that support their surgeries
  • Return voicemails and messages
  • Request and search out primary care and specialist clearances for surgery to make sure patients are healthy for their procedures
  • Communicate with vendors when implants are needed for surgeries via email and telephone
