My duties are to monitor and learn all aspects of the Roberti Affordable Sales Program budgeting, fund monitoring, allocations, encumbrances, and expenditure analysis related to the Program and its Repair Rehab Account. Responsible for answering inquiries for the 710 sales unit, responsible for maintaining file room, parcel files, pay invoices, research project expenditures, identify and analyze funding and financial problems. Update various databases, records and parcel files, also familiar with AMS Advantage, RWPM and File Maker Pro. Independently preform comprehensive and detailed analysis of contractors and subcontractors payroll, time cards and other related supporting documents. Arrange and attend Project Development Team meetings, reserve meeting room/phone bridge, prepare agenda and meeting minutes. I generate action plans and keep track of the status. I work as an effective and productive team player as well as work well independently. My goal is to help our unit work efficiently and effectively.
Attend off-site pre-construction meetings to instruct contractors of the state and federal laws pertaining to prevailing wage requirements for the upcoming project. Review certified payroll records and all documentation for each of the construction projects assigned. Calculate prevailing wages are being paid correctly to each employee listed on the payroll. I work directly with Regional Engineers and field staff to properly review all contractors are abiding to the guidelines of the contract's. If discrepancies are found, proper steps are taken to rectify the situation, either by contacting the contractor's directly to correct wage adjustments or I withhold progress payments. Periodically requested to act in a supervisory capacity.
As the Maintenance Agreement Coordinator for District 7, I negotiated delegated maintenance work with local agency officials in coordination with Regional Managers, Maintenance Area Superintendents, and Maintenance Engineers; prepare Delegated Maintenance Agreements/Electrical Sharing utilizing Excel, SharePoint, Access & other programs. Also, communicate with field staff to determine that our civic partners are in compliance with our current agreements and work is being completed. Review and approve the monthly/quarterly billing from the cities and attend meetings regarding new construction/modifications to existing facilities to determine how projects should be reflected in the agreements. Update Exhibits and/or Agreements in addition to preparing Letters of Concurrence for signature by the Maintenance Support Chief and by the City/County representative or City Council. Attend field review meetings with appropriate staff to coordinate proposed projects, with local agencies, the Maintenance Division or other Divisions of the DOT. Gather information from field staff and other divisions and prepare responses for red folder complaints on behalf of Maintenance for District 7. Act as supervisor and provide direction to staff. I work closely with the District MSR coordinator by fielding phone calls, following up with field staff on status and jurisdictional questions. Back up phones and payroll when needed.
