· Actively engage with the Office of Special Programs (OSP) members and other key partners as directed by the Government OSP Senior Management.
· Schedule and arrange senior-level meetings, including scheduling VTCs, preparing agendas, developing and coordinating briefings, and tracking actions.
· Develop, prepare and edit minutes [within three (3) business days], reports, communications products, engagement strategies, presentations, speeches, talking points and other communications products, as required.
· Assist the Government in data collection and analysis of OSP requirements and programmatic resource and personnel data.
· Support the planning, coordination and conduct of OSP forums/activities.
· Support preparation of read-ahead material for the OSP and Principals for AY meetings as well as to support participation in other Defense Intelligence Enterprise Five-Eye forums.
· Assist the Government in the advancement and strengthening of Geospatial Intelligence management across the ASG through leadership, governance, education, strategic communications and collaborative engagement.
· Support development and implementation of OSP cross-functional and cross-organizational planning and solution implementation and coordination within NGA.
· Independently provide professional and responsive administrative support to the Director and Deputy Director of Analysis Directorate and staff in support of organizational mission requirements. This will require serving as a focal point for executing a broad range of administrative responsibilities with some tasks occurring routinely and/or on an “ad-hoc” basis per real-time needs of the office.
· Independently manage office schedules and calendars to administratively support timely planning, coordination, execution, and completion of business rhythms, corporate requirements, and events (i.e., meetings, town halls, conferences, travel, etc.).
· Independently apply mature and objective judgment to determine best approach and course of action to take in both routine and non-routine administrative situations. This will require a strong working knowledge and understanding of the assigned office’s organizational policies, guidance and administrative business rhythms and processes, as well as, accurately interpreting and adapting guidelines, including unwritten policies, precedents and practices that are not always completely applicable to a changing situation. This includes reading, understanding, and applying applicable IC, DoD and end customer policies, instructions, regulations, and guidance.
· Proactively anticipate and keep leadership and/or staff apprised of high priority issues, requirements, and developments as it relates to office business and administrative activities. This includes reading publications, regulations, directive, instructions and guidance and take action or refer those that are important to office leadership, management and/or staff.
· Prepare, review and/or edit correspondences (such as form letters, reports, tables, spreadsheets, and other printed material) and special or one-time reports, summaries, or replies to inquiries, selecting relevant information from a variety of sources such as reports, documents, correspondence and other offices, etc. under general directives.
· Perform data entry and maintenance of stored data/records in established databases, spreadsheets and other electronic data/record tracking and repository systems.
· Support office with the development of guidance, procedures and/or policies relative to facilitating administrative activities of the organization. These functions may include training/travel budgets, suspense systems, space planning, personnel management, record management, logistics support, asset tracking, etc.
· Supported the development or revision of a DTS training plan to support new or existing end users.
· Supported or lead initial and/or recurring DTS training for end users at the request of the Government.
· Provided the Government with a quarterly training report detailing the number of personnel trained and the type of training received (i.e., AO/CO; directorate level administrators; DTS users).
· Developed a Frequently Asked Questions (FAQ) and answers log and support the development or revisions of Local Business Rules and SOPs for DoD CIO DTS support. The contractor shall update the DTS Help Desk SOP quarterly to reflect changes in laws related to official travel, travel regulations, and DoD CIO policies and submit for review/approval. The contractor shall update the FAQs at the end of each month based on recurring issues or questions.
· Supported DoD CIO in the adoption and implementation of future DTS updates or upgrades. Work with DoD CIO stakeholders to determine the potential impact of DTS changes or updates to DoD CIO.
· Maintained audible documents for DTS, Government Travel Charge Card, Support Agreements, and Taskers in SharePoint and other databases. Update the list of Directorate's Departmental Accountable Officials and maintain a folder with the copy of their training and DD577 as required and audit ready.
Supported DoD CIO with DTS administrative tasks. These tasks shall include: updating DTS profiles and routing lists based on the in/out processing of DoD CIO personnel; verifying the Lines of Accounting (LOA) loaded in DTS are accurate; verifying budgets are appropriately loaded in DTS; and analyzing DTS-generated reports and documenting changes
