Job Description for the Executive Assistant

PURPOSE:

The Executive Assistant advances the mission of the Shane Lalani Center for the Arts by handling office management duties, providing administrative support to the Executive Director, assisting with marketing duties, and managing and soliciting annual program advertisers. A solution-oriented team player who is professional, friendly, organized, a strong communicator, and effective with their time management.

EXPECTATIONS/JOB DUTIES:

Job duties and expectations are listed below but are not limited to:

General Office:

Provide a quality experience to all visitors, key stake holders, vendors, renters, and general public and assist with various aspects of administrative support.

  • Consistently maintain the posted office hours, opening the office daily, checking voicemails, answering the phone, and greeting visitors.
  • Field questions and respond to inquiries in person, via phone, and email in a professional and timely manner.
  • Manage and maintain the office areas as clean, presentable, and ready to host meetings.
  • Responsible for the building’s security and safety, as assigned, by properly opening and closing the facility.
  • Assist with supply inventory, storage, and purchasing, making copies or scans, maintaining metrics and data, and running errands.
  • Maintain files on Drive/Dropbox and/or physically consistent with the formatting.

Administrative Support:

Provide support to the Executive Director within assigned timelines, handle work flow, and maintain overall accuracy of work.

  • Execute projects based on the direction of the Executive Director
  • Ensure projects are delivered on time and to specifications.
  • Provides support for specific Shane Center Events including the Annual Gala, Board Receptions, Shane Center Presents, and Summer Outdoor Concert Series.
  • Flexible to evolving responsibilities and changes with occasional weekend and evening hours.
  • Assist with calendar management, scheduling meetings and events.

Marketing:

Serves as a primary liaison between the organization and the media and engages on behalf of the organization on social media.

  • Manage the distribution of press releases maintaining accurate and timely correspondence and scheduling.
  • Develops, grows, and maintains relationships with local media outlets and account managers.
  • Contribute to the organization’s growth by engaging with stakeholders, participants, and strategic partners on social media platforms.
  • Responding to comments, tags, answering questions, and reacting to strategic partners’ posts in a responsible, respectful, and thoughtful manner consistent with the organization’s mission, voice, and tone.
