Brokerage Operations & Compliance
- Oversee daily operations across three RE/MAX Fine Properties branches, ensuring consistent policies and service standards.
- Maintain full compliance with TREC, HAR, and TXR regulations; ensure audit readiness at all times.
- Manage agent license transfers, sponsorship changes, and status updates.
- Develop and maintain standard operating procedures, onboarding/offboarding systems, and office compliance documentation.
- Serve as liaison between Broker/Owner and agents to align and execute business priorities.
Transaction & Compliance Management
- Oversee transaction processing in Lone Wolf/Workspace from contract to funding.
- Ensure transaction files, CDAs, funding requests, and documentation meet compliance standards.
- Provide guidance on TXR forms, buyer/listing agreements, amendments, and best practices.
- Resolve discrepancies and compliance issues to protect brokerage integrity.
- Prepare and reconcile monthly production reports for RE/MAX, LLC.
Finance, Accounting & Bookkeeping
- Manage full-cycle brokerage accounting:
- Accounts Payable (vendor payments, recurring expenses)
- Accounts Receivable (agent fees, commissions, transaction fees)
- Oversee commission disbursements, splits, BSF tracking, and CAP monitoring.
- Maintain accurate financial ledgers and reconcile accounts.
- Prepare financial reports for leadership decision-making.
- Administer payroll, agent billing, and credit card processing.
- Handle year-end close, 1099 issuance, and tax preparation coordination.
Agent Experience, HR & Retention
- Lead agent onboarding/offboarding including ICA setup, commission plans, and system activation.
- Manage and mentor front-office/reception staff.
- Serve as daily operational resource for agents and teams.
- Coordinate retention initiatives, recognition programs, and culture-building events.
- Support recruiting efforts and smooth agent transitions.
Technology & Systems Administration
- Serve as system administrator for:
- Lone Wolf / Workspace
- MAX/Center
- BoldTrails
- Brokerage CRM and tech platforms
- Manage IT vendors, office hardware, printers, and infrastructure.
- Ensure operational uptime and system efficiency across all locations.
Marketing, Branding & Events
- Ensure RE/MAX brand compliance across marketing materials and signage.
- Support recruiting and agent marketing initiatives.
- Plan and execute office events including:
- Top Producer Luncheons
- Office Meetings
- Social Events & Seasonal Gatherings
- Coordinate vendor partnerships and sponsorships.
Vendor & Facility Management
- Oversee vendor contracts and service agreements.
- Manage office facilities, ensuring professional and functional environments.
- Track service performance and negotiate renewals when necessary.
Leadership & Continuous Improvement
- Champion a high-performance, collaborative office culture.
- Identify workflow inefficiencies and implement process improvements.
- Provide strategic and empathetic leadership to agents and staff.
- Drive operational scalability across multiple locations.
