Program Administration

Under the oversight of and jointly with the director and associate director, responsible for program

administration and logistical support of Special Programs and Professional Studies. Including but not

limited to online and off-campus programs, pre-collegiate summer scholars program, outreach, and

executive education.

Related responsibilities include,

  • Research program related information using web search engines and benchmarked data.
  • Assist the directors in working with faculty on initial program design, operating structure, and schedule, including development of informative and accurate web copy, viable program budget, and risk management checklist.
  • Update, distribute all marketing materials for programs; provide input and assist in developing marketing strategies.
  • Assist with set up of plans and link courses and add fees for Special Programs.
  • Ensure Professional Study program and related faculty, speaker, rates, budget and registration information are accurately entered in SCE Student System. Communicate faculty and speaker fee and program information to Student Services and Human Resources Manager for appointment processing.
  • Enter approved travel budgets into the SCE Budget System.
  • Provide backup to director and associate director in review of winter and summer special program courses to ensure that the description and allotted credits align with university courses of study and policies.
  • Follow-up on approved online classes (new and existing) to ensure they meet accessibility compliance and Center for Teaching Innovation (CTI) guidelines.
  • Create effective and efficient mechanisms for tracking class and program activity. Develop standard management reports.
  • Report on key program performance indicators and program evaluations. Analyze enrollment trends, obtain benchmark data, and recommend process and system improvements.
  • Represent programs as an on-site administrator at events both on and off-campus; monitor quality issues; interact with and advise faculty, staff, and students; troubleshoot problems.
  • Interact with Cornell faculty and academic departments, university Registrar, Bursar, Student Health Benefits Office, Financial Aid, Dining, Housing, and Risk Management as needed to understand and manage activity and troubleshoot issues.
  • Participate in annual training for faculty leading off-campus travel programs, maintain contact with faculty throughout the program.
  • Administer program logistics, including working closely with the Statler Hotel, Conference Services, Cornell Dining, and off-campus food and lodging providers/vendors. Must be able to negotiate with vendors and providers for the best services.
  • Contact program speakers, faculty, and participants to provide relevant information needed including travel, accommodation, program materials and presentation support prior to and during program.
  • Monitor special program mailbox responding to queries timely and completely.
  • Recommend and support the implementation of creative solutions to programmatic, system, and operating challenges in partnership with SCE functional colleagues.

Student Services ·

  • Advise students on application process and timeline, eligibility criteria, course enrollment, housing, and visa requirements.
  • Refer students to SCE registrar or faculty advisor for specialized or academic advising, as needed. ·
  • Work with Designated School Official for Visa purposes within SCE to advise new and continuing students on immigration status and production and dissemination of I-20 student visas. ·
  • Assist with collecting and tracking Prelaw student application files and internship information; respond to applicant questions and provide internship resources. ·
  • Provide information on deposits, program tuition and fees, timelines, and policies. ·
  • Direct and guide students to appropriate payment resources and weblinks.
  • Assist in composing correspondence, developing letter templates, and editing program web pages.
  • Create and maintain moderately complex spreadsheets and databases related to department and program operations. Coordinate and implement office procedures and answer questions relating to program policies and procedures.
  • As a member of the SCE staff team provide backup for all SCE programs, as needed. Assist with special projects and perform other duties as assigned. Stay current in policies, knowledge, and skills to effectively meet position requirements. Must maintain confidentiality.
  • Participate in the development and maintenance of operating procedures. Support in designing and maintaining effective internal controls for the program function. Maintain current knowledge of policies, laws, and financial applications.
