● Responds to correspondence in writing or telephonic inquiries as required to meet the units
responsibilities.
● Update confidential personnel folders for enlisted and civilian personnel daily, maintaining the transfer log and dissemination of all required documents to the appropriate Commands, Human Resources and Payroll for processing. Assist enlisted members with completion of health and reimbursement forms.
● Process incoming mail from prosecutors, government agencies, local law enforcement agencies
and the public. Prioritize requests based on the nature of response required pursuant to Troop C
guidelines and respond orally or mail response in letter form.
● Answers telephone for the Major and all Officers at Troop "C" Headquarters. Provide requested information relieving command staff of office details, directing callers to the appropriate recipient and/or taking complete and accurate messages.
● Reviews, retrieves, and redacts necessary data and responds appropriately to various requests
with documents and itemized letter forms.
● Maintains updated filing system and data base for (the units tracking system) DocTrack related documentation from all Troop C Stations, including the verification for accuracy and completeness of the documentation.
● Complete a weekly list of all late or incomplete reports, email Lieutenant’s and Staff Sergeant’s for completion for the Unit to provide to division.
● Electronically provide documents to division headquarters using the units tracking system Doc Center and added it to the shared drive spreadsheet.
●Compose and maintain Troop C" Pending Matters, which is a Word document that tracks time sensitive materials
●Research members and their current assignment utilizing the State Police Intranet and Human Resources data bank.
●Verifies the Troop C Table of Organization (members assignments) makes sure they are current and accurate.
●Screen workable documents exported to PDF's electronically signed and forwarded to Division Headquarters.
●Prepares statistical and other reports through Word Perfect, Quattro Pro, Excel and Libre Office. Prepares the monthly MAC (Management Accountability Conference) books for the Major and the Captains. Types requests for Troop "C" awards. Prepares memos and composes various types of documents.
●Personally, prepare sensitive correspondence for the Major's signature.
●Reviews, sports and routes incoming correspondence for Troop "C" Administration and Stations as well as preparing appropriate responses for Command Staff signatures and distribution.
●Operates office equipment and performs all clerical duties for the office and Troop "C" stations. Provides administrative support for Headquarters and all Troop stations.
●Schedules the Troop "C" classroom with pertinent information i.e. name of group, date, time, size of group, contact number and what equipment is needed and for how many days.
●Type retirement letters for the Superintendent's signature and forward to Field Operations for Troop "C" members and arrange for pictures of retiree.
●Assists with coordinating special tasks for Troop C. Golf Tournament, and Holiday Social. Arrange events and itinerary for Bring Your Child To Work Day. Compose fliers, take reservations and handle large sums of money. Plan entire retirement parties for the Major and other Troop "C" personnel.
●Holds a notary certificate and uses this for the Troop.
●Transcribes as needed in keeping with the title.
