  • Establish agreements and work with affiliated institutions and schools by setting up standardized template forms; and must discern applicable version/information when creating documents.   • Oversight, compliance, processing, and management of Academic Affiliation agreements require incumbent to develop and establish standardized methods for monitoring and tracking inprocessing, out-processing, and progression of approximately 950 trainees from approximately 80 academic affiliates. This duty requires development and acquisition of templates for recording and monitoring compliance that ensure balance between needs of Education Service with that of affiliates, OAA, and ACGME, AOA, Nursing, and Associate Health, and the Medical Center. I provide oversight and compliance for trainees to establish remote computer access (i.e., Citrix) through Salem VAMC, in collaboration with the Medical Center ISO, medical schools, and program directors at affiliate sites and at the Salem VA Medical Center. I develop tracking and documentation methods to provide necessary oversight and compliance for this access to ensure completion and conformance to VA guidelines. I also develop and implement specific training protocols in collaboration with the Medical Center ISO, Medical Center Leadership, and Academic Affiliates as part of this process. I am responsible for ensuring effective instruction of trainees regarding establishment of these accounts. It is also my responsibility for coordinating and facilitating education/trainee orientations in coordination with services and program coordinators as part of in-processing procedures. In-processing is to include coordination of tuberculin (TB) testing, name badge procurement, completion of mandatory training requirements, and orientation to training assignments. I provide demonstration and instruction regarding computer access to TMS to ensure accurate compilation of education hours. Close monitoring is required due to the high importance of patient safety. I am fully aware of appropriate procedures to proceed with appropriate background clearances under HR and state guidelines applicable to education applicants. Documentation of such clearances is then included in the education file. Responsible for follow-up and tracking to prevent adverse findings relating to Joint Commission reviews, patient safety, and other internal/external audits. I perform work related to the acquisition and/or development of program information, personnel, and resource materials to support the policy development and/or technical activities of an organization; completes special research projects in support of the policy development and/or program activities; assembles and summarizes data, background information, and other materials from publications and other sources.
