Ensure that inter-rater reliability is established. Ensure that case reviews are timely and accurate. Develop spreadsheets and forms to track results of case reviews. Compile data gathered from case reviews. Assist with creation of federally required report on case review results. Make training recommendations in response to common case errors to improve service delivery and minimize improper payments. Modify case review forms. Provide the Data Unit, Child Care Services Bureau Chief, Regional Operation Managers, and Child Care Assistance Supervisors with data on case errors by region. Create and build communication with Child Care Registered/Licensing staff, Child Care Bureau staff, Registered Oversight Unit, and our providers we serve. Ensure consistency and quality assurance throughout databases such as EPICS, FACTS and SHARE as well as all documents. Organize and prioritize investigative projects, research, and make recommendations on data source and data collection to be used by agency. Provide support to Child Care providers and Child Care Staff to include analyze business processes, policies, and procedures in processing W9, entry of financial information into a data system (EPICS) and serving as point of contact for Early Childhood Education and Care Department (ECECD) to Department of Finance and Administration (DFA) and answering any questions around provider financials. Authorizes recoupment correspondence, adjustment, and processes deposits. Responsible for affidavits, returned warrants/ACHs. Service as point of contact for ECECD provider. Assist with Database System Testing & review system requirement documents and test new EPICS releases. Prioritize work tasks appropriately, such as but not limited to the priority of the task, deadlines, who is requesting the task (i.e. Director, Bureau Chief, etc.), time it takes for task to be completed, and other factors that may play into getting the assignment done.
Analyze eligibility for childcare assistance families seeking childcare subsidy. Maintain a case load averaging up to 500 clients. Interview customers to gather information and enter into the EPICS System. Make monetary determinations on subsidy based on information provided by applicants and providers while applying the correct ECECD Policy and regulations. Mentoring new employees. Analyze family finance to determine if family qualifies under our federal income guidelines, applying the relevant state and federal laws and policies pertaining to our program. Responsible for guiding a group of employees as they complete projects. Develop and implementing a timeline for their team will use to reach their goals. Delegate tasks to other members including themselves. Troubleshoot/Address concerns from clients. Determine co-payment to provider and hours needed for care. Create childcare contracts and concise case summaries. Process payments to provider, update changes to case as requested by clients and providers within a 5-day deadline.
