- Manage stagers, contractors, vendors, and other service providers to ensure timely and effective project completion.
- Facilitate listing paperwork with sellers, including listing agreements and disclosures.
- Schedule inspections, and appointments in a timely manner, ensuring all parties are informed and prepared.
- Order property inspections, surveys, and home warranties as needed to support the sales process.
- Organize and attend events including broker opens, open houses, and price evaluations to promote listings and engage with potential buyers.
- Effectively manage the coordination of signage, photography, and lockbox setup for listings.
- Coordinate all marketing materials such as monthly magazine ads, eblasts, quarterly/yearly database mailers, farming mailers, social media posts, website, etc.
- Input and update all listings accurately into FMLS, including photos, remarks, withdrawal/re-list and pricing data.
- Prepare GAR forms such as Purchase and Sale Agreements, Amendments, ect. and utilize DocuSign for document distribution and signatures to streamline transactions.
- Communicate effectively with the sales team, builders, clients, design team, vendors and developers to ensure everyone is kept in the loop and is aware of significant events
- Input and update all listings accurately into FMLS, including photos, remarks, withdrawal/re-list and pricing data
- Prepare GAR forms such as, Purchase and Sale Agreement, Amendments, Instructions to Closing Attorney, Community Association Disclosure, etc and send to all parties via DocuSign
- Manage transaction paperwork once contract is binding to guarantee accounting, lenders and attorneys have the complete file
- Schedule closings, inspections, appointments, etc in a timely manner and ensure all parties involved are aware
- Organize and attend events such as grand openings, caravans, open houses and marketing campaigns
- Effectively coordinate signage, photography, lockboxes, etc
- Coordinate marketing messages with the design and sales team to get correct and creative communications out while following brand compliance
- Direct support for the office administrator including, but not limited to, answering phone calls, ordering office supplies and coordinating with outside vendors, etc.
- Prepare setup for weekly sales meetings that consist of 50+ Realtors and Senior Management
- Coordinate all signage requests between Realtors and vendors to ensure the correct install/uninstall date and appropriate agent/office information
- Keep record of 100+ lockboxes and daily incoming earnest money checks
- Coordinate with accounting/contracts coordinator to ensure proper and timely contract delivery
- Answer all incoming calls and property inquires providing excellent customer service. If needed, redirect calls to the appropriate personnel or property so that items may be addressed in a timely manner
- Maintain the office supplies and order as needed to ensure the teams needs are met
- Greet all clients, contractors and vendors in a professional and friendly manner
