Summary

As Manager of the Front Office, I support Trinity Hall’s Head of School (primarily) and the faculty and students (secondarily) in facilitating the smooth functioning of the school. I am frequently the first point of contact, both internally and externally, for questions that arise throughout the school day, and is often responsible for either providing answers or putting the questioner(s) in contact with school personnel who are in the best position to address an issue. I am physically and organizationally at the center of many details of daily school life. I am extremely well-organized and task oriented, a good listener who is eminently approachable, patient and possess superb inter-relational skills, and is able to communicate clearly and positively in person and over the phone. As Trinity Hall’s Manager of the Front Office, I support the Head of School, Admissions, Development, Athletics, Community Life, and the Business Office.

  • Daily responsibilities:
  • Monitor the school’s main phone lines, answering questions, taking messages and forwarding calls where appropriate.
  • Maintain the attendance database, reporting daily attendance and updating the database daily.
  • Support the Head of School in a variety of ways—being aware of and managing the Head’s daily meeting schedule, keeping her apprised of changes/additions; providing logistical support for various meetings; communicating as directed to various school constituencies; act as liaison to Board in preparing for Board meetings; general administrative assistant duties as required.

  • Put together school lunch program and works with outside vendor to fulfill orders.
  • Accept delivery of mail and packages, sort and distribute deliveries.

  • Maintain student academic files and keep them up to date.
  • Support faculty in general ways as availability allows—assist with collection of club paperwork, facilitate lines of communication, etc….
  • Maintain faculty’s schedules and help support coverage when needed.
  • Support students with general information and reminders, monitor student late sign-in and early sign-out book.
  • Create, distribute, collect and organize various forms and paperwork, particularly related to beginning of school year, advisor conferences, trip permissions, and Parents Association events.
  • Support for Parents Association—help with communications, distribute and collect forms and fees, act as school liaison with PA secretary.
  • Order school classroom supplies and keep track of supply inventory, reordering when appropriate.
  • Annual responsibilities:
  • Start of school year—accept, organize and track forms necessary for start of school year.
  • Act as contact person with school photographer, arranging logistics for photo day(s).
  • Organize post-Baccalaureate dinner at Trinity Hall.
  • Facilitate Commencement preparation and activities including creation and distribution of invitations; serve as contact person for photographer; arrange Commencement seating; create Commencement program; order, label and arrange diplomas on stage; order student caps and gowns and faculty hoods and robes; attend to various day-of-event logistics.
  • Act as school contact person with school ring company.
  • Assist Head of School with creation of end-of-year communications.
  • Work with admissions team to help interview new students and families and assist in open houses and accepted student events.
