Manage administrative tasks autonomously in a fast-paced, dynamic environment, supporting the Chief of Vascular Surgery and assisting with patient-related duties with minimal supervision
Serve as the primary liaison between patients and doctors, ensuring seamless communication and coordination throughout the entire treatment process
Oversee weekly clinics by ensuring all patients have scheduled or completed necessary diagnostic tests prior to their follow-up appointments, coordinate the retrieval of medical records and external imaging, and secure insurance authorizations for subsequent visits
Collaborate closely with Mas, front desk staff, and vascular lab teams to resolve real-time issues, coordinate urgent imaging needs, and maintain smooth clinic flow
Conduct detailed post- clinic breakdowns using surgeon notes to schedule appropriate follow- up visits
Efficient triage in-basket messages and e-mails from patients, doctors, peers, and various departments, utilizing critical thinking and sound judgment to assess the urgency of clinical inquiries and make sure they are handled in a timely manner
Facilitate communication and coordination across departments to assist patients in navigating necessary pre-surgical services, including cardiac testing, cardiology clearance, pulmonary function tests, radiology imaging, lab tastings and more, ensuring all required steps are efficiently completed
Maintain and update Excel spreadsheets to track high-risk surgical candidates, providing weekly status reports to the surgeon on completed pre-operative steps and securing surgery dates for patients
Schedule follow up appointments and surgeries via EPIC and secure insurance authorizations and Letters of Agreement (LOAs) in advance
Handle a high volume of daily calls while multitasking and managing day-to-day operations
Maintain surgeon’s calendars
Fill out daily surgery statics by accurately y recording key metric such as new cases urgent cases, surgery authorizations, canceled cases etc.
