My primary responsibility is IMScheduling. I reschedule patients due to provider's clinic cancellations across 9 different specialty clinics. IMScheduling receives a list of patients that need rescheduled.
First attempt is to send a WellHealth text, letting the patient know that their appointment has been cancelled and to please reschedule through MyChart or call our scheduling line to reschedule. Then they are also sent a MyChart ticket. Attempts are documented in a reschedule list in Epic.
Two days later, if the patient has not rescheduled, I call the patient to reschedule. If a voicemail is left, this is also documented in the reschedule list in Epic.
Once a reschedule list is complete, I respond to the original reschedule email sent to let the provider and clinic know the patients have been cancelled for the requested date and contacted/rescheduled.
Contact patients that were approved for transfer of care and schedule them with the provider the patient or practice manager has requested.
Schedule patients in held clinic spots that providers have requested and contact the patient to confirm the appointment time and date works for them.
Schedule patients for 9 different specialty clinics at multiple locations within the KU health system
Attend occasional meetings and training to stay up to date on doctor's schedules, changes in scheduling procedures, updates in Epic, etc
Fully register a new patient's demographics and insurance information
