Provides administrative and operational support for the medical department within a substance use disorder treatment facility. Coordinate medical workflows, manage medication inventory, oversee documentation compliance, and serve as a liaison between clients, providers, pharmacies, insurance companies, and internal departments to ensure efficient day-to-day operations.
Responsible for resolving prescription insurance issues, obtaining authorizations, coordinating medication-related care, and addressing pharmacy discrepancies. Conduct routine chart audits, monitor compliance with regulatory and accreditation standards, and assist leadership with preparation for state, federal, and accrediting agency reviews.
Key Responsibilities:
• Coordinate and schedule outside medical appointments, specialist visits, and follow-up care for clients.
• Arrange and coordinate transportation for clients attending medical appointments and healthcare-related services.
• Order, schedule, and track Medication-Assisted Treatment (MAT) injections, ensuring continuity of care and timely administration.
• Meet directly with clients to address medical concerns, coordinate services, resolve issues, and provide ongoing support throughout treatment.
• Manage billing processes and submit documentation for outside agencies and healthcare-related services.
• Manage medical records and ensure accurate, timely documentation within the electronic health record system.
• Conduct quality assurance reviews and chart audits to maintain compliance with company policies, regulatory requirements, and accreditation standards.
• Support accreditation preparation, regulatory audits, and ongoing compliance initiatives.
• Coordinate communication between medical providers, nursing staff, counselors, admissions, case management, and external healthcare organizations.
• Train and onboard staff on medical procedures, documentation requirements, workflows, and organizational policies.
• Assist with the implementation of new medical processes, procedures, and operational improvements.
• Manage medication inventory, ordering, and tracking while ensuring compliance with company and regulatory standards.
• Resolve pharmacy issues, insurance authorization requests, and prescription coverage concerns.
• Support departmental workflow development, and quality improvement initiatives.
• Provide direct client support as needed, including vital signs, EKGs, appointment coordination, and medication self-administration assistance.
