  • Performs routine administrative support specific to assigned team, including timely coordination of logistics and scheduling with moderate amount of supervision.
  • Provide efficient and timely calendar management, scheduling 1:1's, Team Meetings, Interviews, ordering/coordinating meeting lunches, Etc. Schedule conference calls and room reservations. Ensure meeting rooms are booked, clean, stocked, etc. Also assist other Admins in finding availability for their meeting requirements.
  • Respond to communication, i.e., emails, IM's, etc., on a timely basis.
  • Order and manage office supply inventory ensuring supplies are on-hand and maintain equipment.
  • Arrange travel, i.e., airfare, lodging, car, etc. Prepare and submit expense reimbursement reports for managers and team as requested.
  • Management of sorting and distributing mail weekly and FedEx shipments, as needed. Manage digital mail forwarding to appropriate colleagues.
  • Complete all mandatory training by specified deadline.
  • Manage floral arrangements or memorial contributions for colleagues that have lost loved ones, ensure In Memoriam notifications are sent to appropriate colleagues, In Memoriam tracker is updated, donations are coordinated, log all invoices, etc. Submit weekly In Memoriam to be published in Connect.
  • Assist in coordinating special events/projects, i.e., Promise Champions, CEO Dinners, Department gatherings, etc. as requested. Activities to include but not limited to catering, room reservations, venue reservations, supplies and materials.
  • Assist colleagues in changing or adding building and/or area access to current access badges. Provide new employees with access to appropriate locations. Remove access from separated employees. Manage all temporary badges for the Atrium.
  • Validate parking for visitors on site.
  • Request Wi-Fi credentials when guests are on site.
  • Provide administration and welcome host support for new employees as needed. Work with managers to ensure welcome experience is exceptional.
