Administrative & Operations Coordinator
- Manage high-volume inbound/outbound communications across phone, text, email, and CRM systems. Schedule, confirm, reschedule with precise tracking of arrival times. Maintain detailed daily call logs, monitor and return missed calls, professionally handle customer complaints and escalations, coordinate route maintenance schedules, and verify monthly payments to ensure smooth operations and high customer satisfaction.
- Oversee Pipedrive CRM- Update deal stages, scheduling follow-ups, and maintaining accurate customer ownership, with data cross-referenced in QuickBooks for accuracy. Generate revenue by selling services over the phone and conducting cold calls as needed, consistently converting leads into qualified customers.
Permitting, Compliance & Public Records
- Prepare and submit permit docs, coordinating city inspections and 811 utility locates. This includes public records, plot plans, permits, and building schematics. Collaborated directly with engineers on permit submissions and revisions, managed city and county portals such as CitizenServe, eTrakit, and the Prescott Valley Portal. Handle ROC filings, certificates of insurance, payee loss requests, and other legal and compliance documentation.
Accounting & Financial Administration
- Process customer deposits and payments in QuickBooks, scan, record, and assist with reconciling accounts receivable to maintain accurate financial records. Adjust pricing, contract statements, and project financials with management approval, supported payroll and 1099 processing. Additionally, notarize financial documents, lien preparation, and filing.
HR & Hiring Support
- Employee hiring and onboarding through QuickBooks, E-Verify, and the Arizona New Hires system. Prep and maintain onboarding forms and compliance documentation. Respond to unemployment claims and employment verification requests. Post and manage job listings for recruitment needs.
Project & Office Management
- Coordinated project plans with project managers and installation crews to support timely and accurate execution. Upload receipts and project documentation into the database drive for company-wide access, and handle all company email accounts.
Additional Duties & Special Projects
- Coordinate special projects, including holiday parade participation. Handle ALCA schooling registrations and license renewals. Manage company phone extensions and submit software support tickets for systems to maintain uninterrupted operations.
