U-Haul International Inc.
Phoenix, AZ
05.2013 - 07.2019
  • New Production
  • Spoke to the State assigned by U-Haul to see what was required in order to register brand new trailers, We discussed annual registration, Perm Plates, insurance and tax fees;
  • Created Vehicle Identification Number/Certificate of Origins for each trailer;
  • Handled high volume paperwork and collaborated with the state(s) in order to register up to 10,00 brand new trailers;
  • Assembled COV's, Application's, Bill of Sale's, spreadsheets, along with the fees required;
  • Tracked and recorded all expenses, refunds, and late fees, and reconciled accounts to maintain accurate and current financial records;
  • Kept physical files and digitized records organized for easy updating by authorized team members;
  • Annual/Multi Annual Renewals
  • 31 States to be Renewed;
  • Ran programs to see what trailers were scrapped, sold, stolen, transferred or retired out;
  • Those trailers were investigated, the one's in question were added to a spreadsheet to be reviewed by a manager and if allowed were deleted from the fleet;
  • Good relationships with the DMV's were high priority;
  • Phone meeting's were arranged, email correspondence were sent, new laws were given and at times challenged, contact people & addresses were confirmed or updated, fees were given. Everything required to run a smooth renewal season;
  • Provided clerical support to DMV employees by copying, faxing and mailing documents;
  • Checks were requested with proof of fee's, with one state money wires were requested which I was approved to send. All checks had to be approved by the VP of the company if over a certain amount;
  • Verified trailer renewal's were submitted , along with all renewal paperwork and fees to each state. I had to do this in a timely matter. Some trailers received plates and/or stickers and needed to be on the trailer's before the expiration date of the previous renewal. This was a challenge considering that the trailers were rentals, and could be anywhere in the United States.
  • After confirmations in installations, all systems in our database had to be updated as well in order to have the trailer listed as an active rental trailer;
  • I was Second party for Virginia and Kansas. I was given key's to enter the states database and renew without assistance.
  • State Taxes
  • Some states on top of renewal fees, taxed each trailer registered in their state;
  • The state would provide a spreadsheet with fees owed. I would run our program, compare and combine both spreadsheets;
  • I would divide over 7,000 trailers by jurisdiction, compare the previous year's paid fees, past fee's that were overlooked, renewals that werent current, and bring current the taxes paid in full.
  • U-Haul's record and the states records had to match perfect. What was active and paid for in our system had to be in their system.
  • Detail was everything
  • Replacement of Lost Titles
  • All trailer title's were kept at the headquarters.
  • Maintained a control spreadsheet of VIN, title numbers, and year of vehicles, along with a inventory list;
  • All titles had to be current;
  • Prepared fees, Bill of Sales and all legal paperwork to request trailer title from state;
  • Updated U-Haul system with the current title number.
  • Service Vehicles Transfers/Titles/Up Keep
  • Service Vehicles were Presidential Vehicles within our Fleet;
  • Approved personnel were able to keep these vehicles for personal use;
  • These vehicles were often times sold/transferred from state to state;
  • The seller would notify my manager, I would then pull the title, create a BOS, instructions on flipping the title that would contain the new state and name of the owner;
  • All titles were kept at headquarters;
  • Updating spreadsheets were mandatory;
  • Scanned the original title and paperwork under the SV files;
  • Entered the title, vehicle information, and new location had to be current;
  • Audit's were done every 6 months;
  • Service Vehicle's could not be transferred unless it was approved and mailed through my desk.
  • Replaced Plates that were in the National Crime Data Base
  • NCIC HOT PLATES
  • These plates had to be ordered ASAP;
  • These trailers were involved in a crime;
  • The plates were listed in the National Crime Database;
  • In order to avoid customers being pulled out by gunpoint, lawsuits against the company, and someone getting hurt; THESE WERE PRIORITY.
  • I took care of 85% of all HOT plates for U-Haul in an expedited manner.
  • Title Clerk
