  • Data Entry and Record Management – Advanced administrative assistant skills for the Department of Art & Art History, which requires data entry and record management for day-to-day operations and efficiency of the department. You must be familiar with a variety of software programs, such as PeopleSoft, Astra ,UT Share, as well as a variety of websites. This position requires attendance at annual training related to the job function.   • Budget Management and Review (Financial Management): This position requires management and review of the budget, which includes processing of the following: purchase requests, payment vouchers, travel requests, reimbursements, and semi-monthly payroll through PeopleSoft. This position requires complex record keeping, and preparation of various budget report reconciliations. Expenditures and income must be monitored against the budget, maintenance for accurate accounting records, and a generation of monthly cost center reconciliation. .
  • Course Scheduling and Student Registration (SOS): You must work closely with the Registrar's Office and Department Chair on all details related to course scheduling, which includes: the processing of the schedule of classes, assistance with coordinating the final exam schedules, room scheduling, and assisting faculty and students with the enrollment process (permission numbers). Must must attend all scheduled training sessions related to scheduling of get locked out of the system.
  • Support and Organization Related to Department Programming and Events: Working in Astra, you will work closely with the department chair, faculty and staff to provide support and assist in department scheduling of programming and events.
  • People Skills and Effective Communication: Working with a variety of people, such as UT Tyler faculty and staff, as well as vendors and the general public answering a variety of questions. A consistent pleasant attitude is essential when dealing with anyone as a UT Tyler employee.
  • Some general duties (some duties are annual, monthly, each semester and others are as they are needed): Generate paperwork for faculty travel and rental vehicles, including airline/hotel reservations, coordinate travel/hotel and generate all paperwork for visiting artists,generate all paperwork/travel for visiting artist during the Professional Practices Symposium, assist faculty with preparation of paperwork for student travel, keeping up with student travel policies and procedures. Enter all GTA/TA and student workers appointment in HRMS at the beginning of each semester. Coordinate and generate the annual physical inventory report(usually in January). Review and generate the monthly procurement card expenditures.
